Information Gathering Phase

Preparation for Initial Consultation

In an effort to ensure a productive initial consultation, we will gather as much information as possible through our Client Inquiry Form, email or a phone call.

Questions to Think Through in preparation for Initial Consultation:

Where is your house located?

What are you wanting to accomplish?

• When do you want to begin and how long are you anticipating it will last?

• Have you ever done a renovation?

• Are you planning on living in the house during constitution?

• Do you have a budget in mind?

• Do you have plans or a designer you are working with?

Initial In-Home Consultation

During this meeting, we will explore your project specifics, outline our process, and take detailed notes to create a comprehensive scope of work. We’ll discuss a preliminary plan for moving forward, including subcontractor visits to gather essential information for drafting an estimate, as well as design ideas and the client’s budget range for the project.

Client Meetings:
• Begin visiting our vendors and their representatives, or we’re happy to meet with you. Our trade partners will provide firm quotes for us following these meetings.

• Explore options for appliances, tile, flooring, countertops, and more.

• Based on your vision and input, we will develop selection options for your review, updating our Scope Notes according to the details outlined in the approved drawings.

Five Development Meetings:
• We will conduct field measurements of your home and take photos to establish a baseline for the new design and start a proposal outline.

• If you’re working with a designer, we’ll coordinate a meeting to discuss finishes and review the Scope of Work.

• Following client meetings, we’ll incorporate fixed prices from vendors into your estimate/proposal contract.

Trade Meetings:
• Meet with electricians, plumbers, framers, trim carpenters, cabinet makers, and others, giving you the
opportunity to ask questions and get to know our team.

• From in-home meetings with trade partners, together we develop plan of action and preliminary pricing.

Creating an Accurate Estimate/Proposal

This stage of the project centers around 3 types of meetings: Vendors, FIVE Development General Contractor, and all subcontractors in order to prepare a successful estimate/proposal. This phase can be extensive as we gather all notes, photos and quotes for your dedicated project folder.

Meetings with Vendors

We will begin visiting our vendors and their representatives to explore options for appliances, tile, flooring, lighting, countertops and more based on your vision and input in order to gather an accurate quote for the estimate/proposal.

Meetings with FIVE Development

We will take field measurements and photos of your home to establish a baseline for the new design and begin outlining a proposal. If you’re collaborating with a designer, we’ll coordinate a meeting to discuss finishes and review the Scope of Work.

Meetings with Subcontractors

We will meet with electricians, plumbers, framers, trim carpenters, cabinet makers, and other team members to ask questions and build rapport. Through these in-home meetings, we will collaboratively develop a plan of action and preliminary pricing.

Pre-Construction Phase

Reviewing Your Project Proposal and Initial Estimate

In this phase, we will conduct an In-Home Meeting to thoroughly walk through your project’s Proposal. This initial estimate will capture your needs and wants but can be revised to align with the project scope, budget, and your preferences as the work progresses. A non-refundable consulting fee may be required based on the total scope of work, but if you proceed, this fee will be credited towards your overall project cost.

REFINEMENT

• Conduct a ballpark check-in based on updates to plans and selections

• Collaborative process to finalize project plans

• Present finishes for your project, including tile, plumbing, countertops, and more

• Plans and finishes uploaded to our Cloud Based Administrative Software for final approval

• Update pricing and scope of work as needed

• Decide to move forward with proposed plans and selections or engage engineers and other professionals

• Once the final estimate/proposal is agreed upon, a fixed-price agreement and contract will be provided
for review, approval, and electronic signature

Finalizing Your Project: Fixed-Price Agreement and Contract Process

After making revisions, a final estimate/proposal is agreed upon. A fixed-price agreement and contract will then be provided for review, approval, and electronic signature.

Pricing Transfer: After electronic approval, the pricing is transferred to your project’s estimate for invoicing purposes.

Client Onboarding: Clients are added to our cloud-based administrative software for both web and app access.

Online Project Management: Use our platform to communicate with the entire team effectively.

Project Management App Access: Clients can view daily logs, photos, project schedules, invoicing details, change orders, and more.

Tutorials Available: Access video and tutorials in the Cloud Based Administrative Software that covers:

  • Setup, login, and app download
  • Selection approvals
  • Change order
  • Job logs
  • Messaging and chats
  • Invoicing and payments
  • Financial section

Selection Approvals: Any selections to this point are entered into the cloud-based software for client approval.

Logistics Discussion: Discuss dumpster placement, any pets and their safety, storage solutions, portable toilet, and lockbox locations.

Client Support: Address any questions or concerns from the client.

Initial Documentation: Take and upload initial pictures to the shared “Before” folder in the Cloud Based Administrative Software.

Project Timeline: Discuss the anticipated start date and projected phases timeline.

Scope of Work Review: Go over the detailed scope of work, weekly invoicing process, and payment options and expectations.

 Contract Finalization: Initial invoice to secure your start date.

Site Preparation: First-day site prep will be conducted to minimize dust during construction.

  • Logistical issues: dumpster placement, pets protection, lockbox, etc
  • Anticipated start date and projected phases timeline of project
  • Weekly invoicing process including payment options/expectations
  • Electronic signing of initial invoice to secure start date
  • Site preparation to minimize dust and debris during construction

Onsite Work:

  •  Demolition Begins
  • Daily Jobsite Cleanup
  • Optional Weekly Walkthroughs

Cloud Based Administrative Software:

  • Messaging and Chats
  • Selection Approvals (not previously approved)
  • Client Review and Approval of any Change Orders

During the construction process, daily updates, including photos, are uploaded to our software platform.  You can also expect daily jobsite cleanup and an optional weekly walkthrough with our General Contractor.

Our cloud-based administrative software is extremely helpful in the construction process and includes:

  • Messaging and Chats
  • Selection Approvals (not previously approved)
  • Client Review and Approval of any Change Orders
  • Daily Job Logs Posted
  • Weekly Invoices Issued
  • Online (In Person) Payments Processed
  • Financial Section (automatically updated)

Final Punch List:

• We will conduct a walkthrough with clients to create a Final Punch List of items for completed work that need to be addressed.

• Final Punch List, along with any final payments due, will be submitted electronically to be signed off before completing the Punch List.

• Once all Punch List items are completed, the finalized list including completion dates will be electronically signed off.

• Any final payments will be submitted.

Warranty Visits:

• An additional walkthrough 30 days after completion to address any new questions or concerns for work completed that are not related to normal wear and tear.

• A visit can be scheduled upon request prior to the end of the 1-year warranty to ensure any concerns are addressed for work completed not related to normal wear and tear

Warranty Information:

• A comprehensive 1-year warranty is provided.

• Warranty book will be provided that includes a detailed list of all items, complete with model numbers and finishes.

Post Construction

Upon project completion, we will conduct a walkthrough with clients to address questions and create a final punch list. Any final payments due will be submitted electronically before completing Final Punch List items with completion dates.

Once this list is completed, we will provide a warranty book containing the manufacturers’ warranties for all installed items. An additional walkthrough will take place 30 days later to address any new questions or concerns unrelated to typical wear and tear. A comprehensive 1 year warranty is provided, and a visit can be scheduled upon request before the end of the 1-year warranty to address any concerns related to the completed work that are not due to normal wear and tear.
